What’s the role:

We are seeking an enthusiastic Facilities & Workplace Experience Manager in Tokyo. You will be responsible for our commercial office in Tokyo, remote site in Toyosu, Daikanyama Data center and service office in Osaka.

As the point of contact for employees and guests in the workplace, you will be able to create a welcoming and professional experience in the Workplace in keeping with the company culture and brand. The experience begins even before our customers physically arrive, and we need someone who is confident and comfortable to engage with Employees and Guests, creating memorable touchpoints. Leading a vendor partner team, this person will provide fast and effective solutions while ensuring a high level of team and customer satisfaction.

Also, you are someone with excellent project management and service delivery expertise across a diverse global portfolio. You will be responsible for managing the Operational Expenditures (OPEX) budget while supporting Capital Expenditures (CAPEX) projects, project execution, vendor governance and continuous process improvements of operational and maintenance strategies. You will ensure that activities are executed to guarantee the uninterrupted integrity of the facility operations program. You will have excellent project management and service delivery expertise across a diverse portfolio.

We’ll trust you to:

  • Engage and collaborate with employees and visitors at site, be the point of escalation, manage employee feedback, and continually provide solutions so employees can be their most productive.

  • Own and manage the Workplace Experience products of Front of House services, Event Support and Catering, meeting room and collaboration space experience, and Employee Engagement.

  • Manage and engage vendor partners strategically to ensure service level standards are upkept through SLA / KPI processes

  • Management and approval of vendor contracts and agreements. Liaise with vendors and functional managers to assist in regional projects.

  • Build purchasing requests. Manage and approve vendor purchase orders, invoices and cost tracking utilizing industry best practices.

  • Coordination with Bloomberg departments including Infrastructure, Security, Hospitality and Capital Design

  • Create reports and analyze local data - track trends and come up with supporting initiatives and solutions to either match trends, or to counter undesirable trends

  • Conduct regular site inspections, space management

  • Conduct operational cost analysis, budgeting, invoice reviews, cost tracking

  • Manage all Facility and front of house documentation including Site overviews, Process & Procedures, and Operations Manuals

  • Implement and maintain Bloomberg’s Facilities Global Standards which focus on extraordinary cleanliness, maintenance neatness and pantry services

You’ll need to have:

  • Degree in hospitality / hotel management / relevant subjects, or equivalent work experience

  • Minimum 5 years of relevant experience within the Facilities & Hospitality, Project management, corporate real estate, corporate services industry

  • Business level proficiency in Japanese and English

  • Customer service mindset and excellent internal and external stakeholder management skills

  • Experience working within a technical facilities management environment handling hard services

  • Proven knowledge of property management, leases, construction terms and practices, with strong working knowledge of sophisticated building systems

  • Awareness of data management, privacy and information security

  • Full awareness of local culture nuances and regional/global consistency needs where necessary to ensure holistic workplace service solutions are provided to stakeholders

  • Ability to efficiently adapt to local culture in communication and build the regional/global presence

  • Ability to work independently and as part of a larger regional team

  • Ability to drive change and improvements by leveraging vendor relationships

  • Experience and Knowledge with documentation techniques including Method of Procedures, Standard Operating Procedures, Root Cause Analysis and Change Management

  • Knowledge of agile methodologies and scrum working with the ability to manage strategic and KTLO projects simultaneously

  • To manage and engage vendor partners strategically to ensure service level standards are upkept through SLA/KPI Processes
